Privacy Policy
Collection of Personal Information
Oasis Mental Wellbeing Counselling collects personal information that is reasonably necessary for the provision of psychological and social work services. This may include your name, contact details, date of birth, Medicare number, GP details, and sensitive health information including your mental health history, session notes, and treatment plans. We collect this information directly from you during the intake process or through your authorised representatives (e.g., your GP with your consent).
Use and Disclosure
Your personal information is used solely for the purpose of providing you with safe and effective mental health care, including:
- Clinical assessment, diagnosis, and treatment.
- Corresponding with your GP or other health professionals (with your consent) to coordinate care.
- Processing Medicare rebates or billing third-party payers (e.g., WorkSafe Victoria, DVA).
- Managing administrative functions such as booking appointments and invoicing.
We will not disclose your personal information to overseas recipients or sell your data to third parties. Disclosure to any other party will only occur with your express written consent or where legally mandated.
Data Security and Storage
Oasis Mental Wellbeing Counselling takes reasonable steps to protect your personal information from misuse, loss, and unauthorised access.
Storage: Client records are stored securely within the practice management software (Zanda) and/or encrypted cloud storage, as well as any physical files kept in a locked filing cabinet.
Retention: As an Accredited Mental Health Social Worker, Oasis Mental Wellbeing Counselling is required to retain client records for a minimum of 7 years after the last contact, or for a minor, until they reach the age of 25 years. After this period, records will be securely destroyed.
Access and Correction
You have the right to request access to the personal information held about you. If you believe any information is inaccurate or out of date, you may request that it be corrected. Please note that under certain legal circumstances, access to specific clinical notes may be declined if it is deemed to pose a serious risk to your health or safety.
